June 2014 Directors Meeting at Loyalist - Agenda

To prepare for the June OCFMA Meeting, follow these 4 steps:

  1. Book your hotel room:
    • Reservation of accommodations at the Travelodge Hotel can be arranged through:  
    • Group Reservation – Colleges Ontario Facilities Services Conference
    • Rates:
      • Sunday June 1, 2014 – 50 rooms available - Room Rate $106.00 + taxes
      • Monday June 2, 2014 – 50 rooms available - Room Rate $106.00 + taxes
      • Individual rooms may be cancelled up to 72 hours prior to the event.
  2. Let Loyalist know you are attending:
    • Once you have confirmed your hotel reservations, please drop an e-mail to gbrummel@loyalistc.on.ca  so that Loyalist can get an idea of the numbers of Colleges being represented, and those attending.
  3. Get directions to the Loyalist Campus here: Directions to Loyalist
  4. Bring your laptops
    • All 3 workshops will be hands-on using your laptops
    • Wireless connectivity at the hotel is included in your hotel room
    • Wireless connectivity at Loyalist on Tuesday will be provided

Agenda:


Monday - At Hotel Meeting Room
  • Breakfast - (Included with Hotel)
  • 9am-Noon - Workshop 1 - Jumpstarting OCFMA Collaboration Using Web-based Tools
    • Led by the OCFMA Collaboration Subcommitte
    • This hands-on workshop will be used to introduce various tools proposed by the Collaboration Subcommittee to help the OCFMA members connect more effectively. It is intended to jumpstart the membership into online collaboration and remove obstacles to participation. Some of the tools that will be used will include: 
      • looking at the new OCFMA website; accessing the Colleges Ontario BoardEffect portal; sharing through the OCFMA LinkedIn group; using the OCFMA Master Member Directory; using misc. web-based tools: web conferencing (join.me); Google docs; file sharing tools; bookmarking tools; mindmapping tools… 
      • Members will be asked to share their favorite web tools so come prepared with ideas
      • Some of these tools will be used during Workshops 2 and 3 to facilitate further discussions
  • Noon-1pm - Lunch (Provided by OCFMA)
  • 1-4pm - Workshop 2 - Working the OCFMA Benchmark Report
    • Led by Harry Bakker + Rich McEvoy
    • This workshop will revisit the OCFMA Benchmark Report in detail. The session will be split into two components: 
      1. Explore methods to maximize the value of our annual Benchmarking report. 
        • How are Colleges leveraging the metrics to identify opportunities to improve their operations?  We will review the report and delve into the data using various tools - Qlikview and Excel.
      2. Critique the report itself with the intent to streamline its assembly.
        • Are there opportunities to make the information more relevant to our needs?  What data is missing?  What areas can be removed or consolidated?  How can we improve the turn-around time in generating the report?  
        • This is a great opportunity to contribute your ideas to make this report more meaningful.
    • (Members are encouraged to download the Benchmark Report from the Colleges Ontario BoardEffect Portal before coming to the meeting.)
  • 4-4:30pm - Free Time
  • 4:30pm - Bus to Loyalist / Tour of Loyalist Belleville Campus
  • 6:30-9pm - Dinner - At Culinary program at Loyalist College (Cash bar)
  • Approx. 9pm - Bus returns to Hotel
  • Monday Night - Hospitality at Hotel (Cash bar / BYOB)
Tuesday - At Loyalist Belleville Campus
  • Breakfast - (Included with Hotel)
  • Checkout
  • 8:30am - Drive to Loyalist Campus / No charge for Parking
  • 9am-Noon - Workshop 3 - Learn Pivot Tables While Working with Your COFSI Inventory
    • Room 3T10
    • Led by Phil Rouble + Rich McEvoy
    • This workshop will introduce pivot table basics using the COFSI inventory dataset. Examples will be used to explore and manipulate the inventory to generate meaningful reports and charts. Participants will be encouraged to suggest scenarios for exploring the data in ways that would help them manage their space more effectively.
    • Depending on time, a demo using Qlikview to explore the data.
  • Noon - Light Lunch (Provided by OCFMA) / Depart from Loyalist
