      I’m wondering how everyone is dealing with requests to remove assets from campus.

      We have received numerous requests relating to employees taking home chairs etc for ergonomic reasons.  At first we did allow this due to the immediate crisis and based on individuals having an ergonomic assessment with our Health and Safety team.  Now the requests are escalating and we are receiving pressure to more broadly allow individuals to take chairs home.  Obviously there are major concerns about this, including the precedent that is set, how we would deal with employees who need to work both on and off campus, assets going missing, and the list goes on.

      Are other folks receiving similar requests and how are you dealing with them?  Thanks everyone – hope you are all doing well.

      Hi,

      Loyalist is permitting the removal of certain items from the college to support individuals working from home.  If they need to take computer equipment home it flows through IT how prep the equipment for onsite pickup by the individual.   We have also allowed folks to take home chairs if approved by our OH&S folks.  They must come with someone to help get the chair into the vehicle and it is the individuals responsibility to get it outside.  All items that are removed from the college are tracked, what, who and a copy of the approval (Must be Dean or Director level).  Those that approve understand they are taking fiscal responsibility if the items are not returned or broken when off campus.   It is their budgets that must cover any replacements.

      We have not worried about precedent as we have forced folks to work remotely and have so

      me obligation to reasonably support them.  Some folks requests have been denied.

        M Kirkpatrick – I’m interested in knowing how items are being tracked and who is in charge of that. Is OH&S in charge? How are they tracking? Thanks!

      Sault College has allowed staff to remove PC’s, montitors, keyboards/mice from campus to be set up at a home office.  As at Loyalist, all IT assets are tracked by IT. Where individuals have requested a chair for home they were permitted to bring their own desk chair home and an equipment lone form was completed and signed off by the appropriate position.

      At Fanshawe, nobody is tracking.  We will be relying on Manager oversight and Employee honesty!

      I’m late to this thread but interested in if the approach to allowing assets to leave campus has changed over time. At Algonquin we are relying on Manager oversight and employee honesty but agree that assets leaving campus is a concern.

      At Fleming College We use eBase as our CMMS, Assets like computers, monitors, laptops, phones, chairs, desks, etc get loaded into it using identifying info like serial number, pictures, models etc. These assets can then be assigned to a user in the system and comments added (as well as supporting documents, costs, etc) So we can at a glance run a report on what’s outstanding and who is in possession of it.

      I haven’t yet but I could use microsoft forms and power automate to streamline the request and approval process with additional tracking on a sharepoint site. It would Just allow use to have a live dashboard of approvals and requests at our finger tips, as opposed to just straight work orders and emails.

      At Centennial College, Management has permitted to use college furniture as per Health & Safety approval.

      Tracking of the items leaving the campus is left with the college department.
