Perhaps a topic for a future OCFMA presentation or PD Activity?
in reply to: Fitness and Health Space Size and Utilization #3274Hi Lise,
I don’t have much info on section size but would like to point you to our COFSI Report/ Dashboard (https://www.ocfma.ca/cofsi-dashboard/), or look under ‘Members Only’ menu on this website.
The Dashboard ‘Reports’ tool has a ‘Detailed Report by College’ section that can be filtered for the ‘Athletics/Wellness’ metrics. This table summarizes space, student FTE, weekly contact hours and whether each College aligns to the prescribed standard. It also details key inputs used to arrive at the values. If you’d like to drill into the room-level detail, you can go to the ‘Data’ section and filter where COFSI_L1 = B3. Here you’ll see the 3,693 rooms that fall into the Athletic/ Wellness category reported by Colleges.
I’ve attached a screenshot for your reference.
I hope this helps,
…Rich

Fanshawe is maintaining our masking requirements until the end of the current semester. In accordance to local health unit guidelines, we have removed 2m distancing restrictions in academic areas however, they remain in place in most non-academic areas (e.g. offices, lounge areas). Daily self-screening continues, using our app.
We are awaiting further updates from our health unit at the end of this month and hope to remove additional restrictions in time for our summer semester.
We did agree to leave plexiglass barriers in our labs, washrooms and reception areas for the summer and will likely remove most of them for the Fall.Regards,

in reply to: Archive Facility Document Storage Solutions #3150Hi Lise – Fanshawe has been storing project information in a few areas. 1 – we also have been using a home-grown MS Access database to manage active projects (have been waiting for years for robust replacement!); 2 – we store documents in SharePoint in a prescribed project template format which includes a series of folders and 3 – our drawing files are stored in AutoDesk Vault.
We are in the process of piloting SharePoint 365 in the hopes of consolidating our documents and have also been experimenting with AutoDesk Construction Cloud. We’re finding that it’s not easy to identify a one-stop-shop for secured file storage and sharing to meet all our needs. A significant challenge that we’re now facing is that the size of our 3D models (e.g. Revit) continues to grow. It is becoming more of a challenge to share views with our maintenance teams and linking to supporting software (ArcGIS, Archibus). We’re trying to avoid making copies that would subsequently have to be maintained.
I’ll be curious to hear what others are doing and how you progress.
Regards,

in reply to: Space Management Professional – Job Description #3097Hi Beth,
I don’t have a specific job description for you but wanted to remind you of the wealth of job descriptions stored in our BoardEffect site.
https://collegesystemportal.boardeffect.com/login?destination=%2F&login=You can log into the ‘OCFMA Workroom’, select ‘Library’, then click the ‘Other Files’ hyperlink. The ‘Sample PDF’ folder currently lists ~30 docucments. I see one for Planning..Technologist that may be helpful.
Good luck. …Rich

Physical distancing will be encouraged but not required – it’s the only way to accommodate our demand. Masks and hygiene will still be required. Non-academic spaces will still require physical distancing. This complies with provincial regulations as of today.
Hope this helps.

in reply to: Digital Meeting Playbook #2987A few highlights include:
a) by default, meetings are online
b) aim for 45-minute meetings to allow break in schedule
c) include breaks for meetings that exceed 60-minutes
d) schedule meetings between Mon-Thurs; 9am-3pm. Avoid Fridays if possible
e) provide 1-week lead time for meetings
f) limit in-person meetings for team-building; hands-on training; celebrations; sensitive topics;in reply to: Benchmarking Report Q&A #2965I would advise everyone to leave COVID expenses in – it may be interesting to see how we compare against each other to gain insights.
Needless to say, this Report will be quite different from the others. …Rich
in reply to: Benchmarking Report Q&A #2964[Niagara] We are working on our data crunch for this year’s Benchmark Report and I’m just wondering about additional expenses related to COVID, specifically supplies and extra cleaning. Is there a need to filter out these expenses for 20/21 or should the year reflect the additional costs?
Thanks for your advice.

in reply to: Global Accessibility Awareness Day #2842Thanks for posting Fidelis – good topic!
in reply to: Recycling of PPE #2827Follow-up: Currently, Fanshawe has just started GIC (Medical Disposal Circle) from Toronto [https://gicmd.com/] taking away all our nursing/dental PPE from the college to be recycled. Please reach out if you’re interested in more detail.
in reply to: Recycling of PPE #2824Welcome Robin. I’m told Fanshawe hopes to have a pilot PPE recycling program starting soon. I’ve requested more details and will follow-up further when I do.

in reply to: Asset Retirement Obligation #2796I haven’t been asked to assemble anything yet but it was brought to our attention last October. Fidelis, from Centennial, was kind enough to share the reference documentation that was forwarded. I saved it in our BoardEffect library in the Deferred Maintenance folder.

in reply to: Post Covid Design & Space Planning #2769Hi,
Facilities and Academic Schedulers at Fanshawe continue to meet weekly to address changes in academic room requirements due to i) scheduled demand, ii) changes in Health Unit protocols and, iii) spontaneous events (e.g. COVID testing area). We don’t have a plan impacted by the vaccine at this time but have begun discussions on a new approach to space use – primarily, dedicated office-type space moving to team-based on-demand office space (hoteling). We’ve shifted approximately 200 non-academic (admin/ support) roles off-campus to a nearby site and we were about to pilot hoteling space with our IT group last Fall. Unfortunately, the COVID restrictions have delayed our move. The migration of non-academic space to off-campus was initiated prior to the pandemic as a way to address our academic space requirements on-campus.
I’m not aware of any formal adjustment to guidelines going forward but do expect they will change.
We are not using any apps or sensors at this time to measure room occupancy.
Fanshawe is expecting to refresh our Campus Master Plan this year which will focus on new space needs following COVID. Also, we are supporting Colleges Ontario in preparing the tri-annual COFSI Report (Colleges Ontario Facilities Space Inventory). This document combines categorized space inventory, enrolment, staffing and teaching contact-hours into a series of space-planning guidelines. We anticipate the report to be released in the coming months. It will be a valuable reference for future space planning.
